eXHIBITING TASKS and Deadlines:
Exhibitor Kit/ Electric / AV / Internet
SOFT contracts with Golden Convention & Tradeshow Management /IMS to build the exhibit hall. You will work them to ship your booth materials and to order items for your booth space. Please review the kit HERE, to view the furniture catalog and place orders please click HERE.

Electric/ AV/ Internet is order with the Gaylord Rockies Resort & Convention Center HERE Internet is provided throughout the hotel and convention center, if you require a hard connection you will need to place orders with the Convention Center.
Payment - Due by April 1
- If you have not completed your payment for SOFT 2023 please contact Operations Manager, CC Watson to make payment arrangements.

Registration - Opens June 21, Due by October 13
- Registration opens on June 21, your booth staff will need to be registered in by Friday, October 13. Register HERE
- The fee for an Exhibitor Registration Badge is $599 and does NOT increase at any point.
Company Logo (Sponsors Only) - Due by July 1
- Please submit your company logo. Your logo will be used on all SOFT 2023 promotional items and drink tokens that are purchased or included in your sponsorship.
- Must be high resolution vector file like .eps file.

- All SOFT 2023 Exhibitors are given a free space in the Program/Abstract Book for a company listing.
- Please use this template to complete your company description for the SOFT 2023 Abstract/Program Book.

Lunch & Learn Registration Link- Due by October 1:

- Your Lunch and Learn Information will be added to the SOFT website and publicized by SOFT.

- You will need to place orders with the hotel for your Lunch & Learn Food and Beverage and AV. Please contact the coordinators below to place your orders:

Meeting Bag Ad/Flyer OR Item – Ship between October 2 - 27, 2023:
The exhibitor may select either a single page ad/flyer OR an item of their choosing. The SOFT office will need to approve your item to avoid duplication of giveaways for attendees.
ITEM APPROVAL
- Please send a digital proof of your item to CC Watson for approval by Friday, September 8.
- Once approved by the SOFT office you may order your item and ship to our warehouse in CO.
SHIPPING
- SHIPMENTS SHOULD ARRIVE BETWEEN October 2 - 27, 2023 -You MUST ship within the shipping window provided. Shipments received outside of this window will not be accepted by the warehouse.
- Please Ship 1,000 pieces.
- Please use this shipping label for your package(s) - If you do not use this label to ship your package, we can’t guarantee your package will be found in the warehouse.
- Please provide the following information to CC Watson once you have shipped your package:
- Tracking Number
- Shipping Company/Carrier
- Date Shipped
- Number of pieces
- Tracking link - if available
REGISTRATION PREP - Managed by SOFT Office
Your ad/flyer/item will be stuffed into the complimentary meeting bags by our wonderful SOFT volunteers. The meeting bags are passed out to attendees when they pick up their registration packet from the SOFT Check-in Desk in Denver.
