SOFT is thrilled to invite you to join us as an exhibitor and sponsor for the SOFT 2025 Annual Meeting, taking place in Portland, Oregon, from October 27 - 31, 2025 at the Oregon Convention Center.

The SOFT Annual Meeting brings together forensic toxicology professionals from around the globe for a week of cutting-edge workshops, engaging scientific presentations, and unparalleled networking opportunities.

Booth Information - $2,500 PER BOOTH

The Exhibit Hall floor layout will consist of 10’x10’ booths. Each booth will include the items listed below or specialty furniture/booth enhancements can be purchased from the exhibitor kit if needed.

Booth Assignments - Begin May 2025 

Booth assignments will begin in May 2025. Payment is required to receive your booth assignment. Sponsoring companies receive priority placement, followed by those first to submit the reservation form with payment. You will have an opportunity to communicate any proximity requests on your booth reservation form, we will do our best to accommodate your request.

Booth Staff & Registration Badge 

Each booth includes one complimentary exhibitor registration badge to be utilized by your booth staff. Registration badges are required for all scientific, food, beverage, and social functions. Additional registration badges can be purchased at the SOFT member rate ($600). Late fees are not applied to the exhibitor registration cost, regardless of registration date. The badge offers full meeting privileges for all SOFT associated events. Badge sharing is strictly prohibited.

Exhibit Hall information

The Exhibit Hall will open on Tuesday, October 28 at 6:30 pm for the SOFT 2025 Welcome Reception. The Welcome Reception is open to all meeting attendees and is a highly attended event.

The hall will also be open during the following hours at SOFT 2025:

  • Tuesday, October 28, 6:30 - 9:30 pm
  • Wednesday, October 29, 9:30 am - 3:30 pm
  • Thursday, October 30, 9:30 am - 3:30 pm

Exhibit Hall Food and Beverage  

Food and beverage will be served in the Exhibit Hall to help maximize booth traffic and will be provided during the following days & times: 

  • Tuesday, October 28
    • Welcome Reception & Exhibit Hall Game, 6:30 – 9:30 pm
  • Wednesday, October 29
    • Morning Refreshment Break, 10:00 – 10:30 am
    • Lunch with Exhibitors, 12:00 - 2:00 pm

Important Notes 

  • Off-site Events: Hosting off-site events that compete with the SOFT Annual Meeting program will not be permitted and will result in the loss of ability to exhibit without refund.
  • Booth Staff: All booth staff must be registered for the annual meeting. Instructions on how to register your booth staff will be provided.
  • Prizes & Giveaways: You are welcome to give out prizes and branded giveaway items to attendees.

Sponsorship Tiers & Benefits

SOFT 2025 offers five tiers of sponsorship, each with exclusive benefits designed to enhance exhibitor visibility and engagement. Sponsors receive priority booth placement, branding opportunities, and access to premium event spaces. 

Lunch & Learn Sponsorship 

Available exclusively to Tier 1 and Tier 2 Sponsors 

The Lunch & Learn sessions provide an exclusive opportunity for Tier 1 and Tier 2 sponsors to engage directly with SOFT attendees during the lunch break from 12:00 – 1:30 PM on Monday, October 27, and/or Tuesday, October 28.

  • Tier 1 sponsors: Lunch & Learn included in sponsorship package
  • Tier 2 sponsors: Available for an additional $5,000

Sponsorship Details & Responsibilities:

  • Sponsors will work directly with the venue to arrange and cover costs for food, beverage, and AV.
  • SOFT will promote the session through the email blasts, SOFT website, and onsite signage.
  • The session must be open to all SOFT attendees, but sponsors may set a capacity limit.
  • Sponsors must provide the following promotional details to SOFT:
    • Lunch & Learn Title
    • Short Description (not to exceed 150 words)
    • Registration Link
    • Speakers:
      • Speaker Name
      • Credentials
      • Job Title
      • Company/Organization
    • Menu (optional but recommended) with the ability to submit dietary restrictions

Spots are limited and available on a first-come, first-served basis.

Karla moore fun run/walk sponsorship - $250

Sponsorship of the fun run is available to all exhibitors.

The sponsor’s company logo will be placed on the back of the Fun Run/Walk shirts worn by the participants. Special recognition of the sponsors will appear on displays in the General Session, the SOFT Abstract/Program Book, and the mobile application. SOFT attendees may participate in the Fun Run/Walk by making a $30 donation, the proceeds are donated to the American Cancer Society in Dr. Moore's memory.

Single-Page Advertisement OR Promotional Item – $750 

Exhibitors may choose between:
  • A single-page advertisement in the attendee meeting bag OR
  • A promotional item to be included in each attendee’s bag. 

Guidelines for Promotional Items:
  • Must fit inside the complimentary meeting bag
  • Must provide 1,000 pieces to accommodate all attendees
  • SOFT approval required to avoid duplicate items or conflicts with SOFT giveaways
  • If multiple companies submit the same item, priority is given to the earliest completed payment

Exhibit Hall Game

SOFT is excited to bring back the Exhibit Hall Game for SOFT 2025! Originally created by the late Liz Kiley for SOFT 2022 in Cleveland, the game was a huge hit with both attendees and exhibitors.

Stay tuned for more details about how the game will work at SOFT 2025! The goal is to increase booth traffic and spark conversations between exhibitors and attendees. All exhibitors will participate, and those who wish to donate a prize for the winners are encouraged to do so.

Prizes should have a value between $50 - $100 and can be any item of the exhibitor's choosing. Attendees especially love prizes featuring skulls & crossbones, skeletons, death, the host city (Portland), poison, drugs, or alcohol-themed items.

Billing & Payment Policy 

Payment Policy: Completing the SOFT 2025 Booth Reservation Form will confirm a hold on a booth(s) and acknowledge participation in the SOFT 2025 Annual Meeting. Once your reservation form is submitted you will receive an invoice. Payment is due to SOFT by April 1, 2025. You may purchase additional items at a later date if needed.

Refunds: Refunds, minus a $500 cancellation fee, will be honored upon request prior to April 30. There are no refunds after April 30, 2025. Refund requests must be received in writing via email.
