Payment Policy
Payment is required by April 1, 2023, to secure your booth space. You can complete payment with credit/debit card or check.
- Debit/Credit Card – You can complete payment during registration with a debit/credit card.
- Check – You may mail a check to the SOFT office below:

Refunds, minus a $500 cancellation fee, will be honored upon request prior to May 1, 2023. There are no refunds after May 1, 2023.
FAQ’s:
- Is Wi-Fi included in the exhibit hall? Yes, Wi-Fi is included in the exhibit hall and hotel. If you need a wired connection at your booth you will need to order this with the hotel. You can find their order link in the exhibitor kit.
- What are the booth dimensions? 10’ x 10’
- What is the size of the Exhibit Hall? Aurora Hall 3 – 41,730 sq ft
- How tall are the ceilings in the Exhibit Hall? 30’
- What is included with my booth? Your booth includes the following:

- One skirted 6’ table
- Two chairs
- Wastebasket
- Pipe, drape, and an ID sign.
- Is the Exhibit Hall carpeted? No, there is no carpet in the hall.
- When are booth assignments announced? May 2023. You will receive an email with your assignment.
- How are booths assigned? Sponsors receive priority placement, followed by those first to submit the reservation form with payment.
- How do badges work? You receive one complimentary registration badge per booth. The badge is a full registration badge and includes access to scientific sessions, social events and food and beverage.
- What is the cost for an additional badge? $599
- What is the offsite event this year? The offsite event will be on Wednesday, November 1 at Dry Dock Brewing Co. Transportation is provided to attendees.
- Can we host an offsite event? Hosting off-site events that compete with the SOFT Annual Meeting program will not be permitted and will result in the loss of ability to exhibit without refund.
- What else is hosted in the exhibit hall? Welcome Reception, Poster Presentations, Lunch with Exhibitors, Refreshment Breaks.
- How do drink tokens work? Drink tokens may be used at SOFT events to purchase alcoholic and non-alcoholic beverages. Each SOFT attendee receives two tokens with their registration (excluding workshop only) Exhibitors can purchase additional tokens to give out to SOFT attendees. Tokens come in sets of 10 tokens for $190 and includes your company logo.
- When will the exhibit hall be open? The Exhibit Hall will open on Tuesday, October 31 at 6:30 PM. The hall will be open on the following dates and times:

- Wednesday, November 1 - 9:30 AM - 4:00 PM
- Thursday, November 2 - 9:30 AM - 3:30 PM
- Who has access to the Exhibit Hall? Exhibitors, Members, Students and Non-member attendees have access to the exhibit hall.
- Can I bring any marketing materials? Yes! Please feel free to bring any marketing materials or giveaways you would like.
- How do I register myself in the system? Exhibitor registration is handled by the SOFT office and your company admin will be contacted with information on how to register your booth staff. Please contact your company admin to receive your registration instructions.
- When is payment due and how can I complete payment? Payment is due by April 1, 2023. Please see the payment policy above for additional information.
- Do we receive a list of registered attendees? The attendee list is provided to Tier 1 and 2 sponsors prior to SOFT and all exhibitors receive the updated list AFTER the show.
