  • April 1: Payment for SOFT 2024 is due by April 1, 2024.
  • April 30: All refund requests must be received in writing by April 30. No refunds will be issued after April 30. 
  • May 2024: Booth assignments will begin in May. Payment is required to receive your booth assignment. Sponsoring companies receive priority placement, followed by those first to submit the reservation form with payment.

Booth Information - $2,500

The Exhibit Hall floor layout will consist of 10’x10’ booths. Each booth will include the items listed below or specialty furniture and booth enhancements can be purchased in the exhibitor kit if needed.

Booth Reservation and Payment Policy

Completing the SOFT 2024 Booth Reservation Form will confirm a hold on a booth(s) and acknowledge participation in the SOFT 2024 Annual Meeting. Once your reservation form is submitted you will receive an invoice.  Payment is due to SOFT by April 1. You can complete payment with credit/debit card or check. Refunds, minus a $500 cancellation fee, will be honored upon request prior to April 30. There are no refunds after April 30, 2024. 

Booth Assignments - Begin May 2024

Booth assignments will begin in May 2024. Payment is required to receive your booth assignment. Sponsoring companies receive priority placement, followed by those first to submit the reservation form with payment. You will have an opportunity to communicate any proximity requests on your booth reservation form, we will do our best to accommodate your request. 

Sponsorship Opportunities

There are five tiers of sponsorship available for the SOFT meeting along with the Karla Moore Memorial Fun Run sponsorship. Sponsors receive a range of benefits dependent on selected tier level, please refer to the Sponsorship Inclusions below for the list of benefits offered with each sponsorship tier.

Sponsorship of the Karla Moore Memorial Fun Run is available to all exhibitors. The sponsor’s company logo will be placed on the back of the Fun Run shirts worn by the participants. Special recognition of the sponsors will appear on displays in the General Session, the SOFT Abstract/Program Book, and the mobile application.

Exhibitor Registration Badge - $600

Registration badges are required for all scientific, food, beverage, and social functions at SOFT 2024. One complimentary Exhibitor Registration badge is included with each purchased booth. Additional registration badges can be purchased at the SOFT member rate of $600. Late fees are not applied to the exhibitor registration cost, regardless of registration date. The badge offers full meeting privileges for all SOFT associated events. Badge sharing is not allowed.

Drink Tokens - $150

Exhibitors may purchase drink tokens in sets of 10 for $150 and includes your company logo. Drink tokens may be used by attendees at SOFT events to purchase alcoholic and non-alcoholic beverages. Each SOFT attendee receives two tokens with their registration (excluding workshop only).

Abstract/Program Book Full Page Advertisement - $650

The exhibitor will provide a high-resolution print ready advertisement for inclusion in the SOFT Abstract/Program Book. The Abstract/Program Book is provided to meeting attendees and included on the SOFT website. Advertisement requirements:

  • Perfect binding with 8 3/8” x 10 3/4” finished size (not 8 ½” x 11”)
  • Ink colors: CMYK four color digital presses will be used.
  • Pages: You may choose to submit a one-page or two-page (front and back of one page) advertisement. Two-page advertisements can be placed side by side or as a front and back page.
  • File types accepted: High resolution /Print Quality PDF (CMYK) with all fonts embedded.

Single page advertisement OR item - $750

The exhibitor may select either a single page advertisement OR an item of their choosing. The item must fit inside the meeting bag and 1,000 pieces must be provided to accommodate all complimentary bags. All items MUST be approved by SOFT to ensure there are no redundancies and that the item does not match the SOFT meeting giveaways. Should multiple companies want to provide the same type of item, preference will go to the company with the earliest completed payment date.

Exhibit Hall Hours

The Exhibit Hall will open on Tuesday, October 29 at 6:30 pm for the SOFT 2024 Welcome Reception. The Welcome Reception is open to all meeting attendees and is a highly attended event. The hall will also be open during the following hours at SOFT 2024:

  • Tuesday, October 29, 6:30 - 9:30 pm
  • Wednesday, October 30, 9:30 am - 3:30 pm
  • Thursday, October 31, 9:30 am - 3:30 pm

Exhibit Hall Food and Beverage

Food and beverage will be served in the Exhibit Hall to help maximize booth traffic and will be provided during the following days & times:

    • Welcome Reception, 6:30 – 9:30 pm
  • Wednesday, October 30
    • Morning Refreshment Break, 10:00 – 10:30 am
    • Lunch with Exhibitors, 12:00 - 2:00 pm

Important Notes

  • Hosting off-site events that compete with the SOFT Annual Meeting program will not be permitted and will result in the loss of ability to exhibit without refund.
  • All booth staff must be registered for the meeting by September 15. Instructions on how to register your booth staff will be provided.

Billing and Payment Policy  

Billing and Invoice: You will be invoiced by the SOFT office upon receipt of your Booth Reservation Form, please allow 3-5 business days for your invoice. You may purchase additional items at a later date if needed. 

Payment Policy and Refunds: Payment for SOFT 2024 is required by April 1, 2024, to secure your booth space. You may complete payment with credit/debit card or check. Refunds, minus a $500 cancellation fee, will be honored upon request prior to April 30. There are no refunds after April 30, 2024.

  • How do I register myself in the system? Exhibitor registration is handled by the SOFT office and your company coordinator will be contacted with information on how to register your booth staff. Please contact your company coordinator to receive your registration instructions. 
  • When is payment due and how can I complete payment? Payment is due by April 1, 2024. Please see the payment policy above for additional information. 
  • Do we receive a list of registered attendees? The attendee list is provided to Tier I and II sponsors prior to SOFT and all exhibitors receive the updated list AFTER the SOFT.
